A negative Google review stings, but the reply is not really written for the angry customer. It is written for the next hundred people who read your Google Business Profile before deciding whether to visit. Knowing how to reply to a negative Google review calmly and specifically is one of the cheapest ways to show those people how you treat customers when something goes wrong.

Google's own guidance says replies are public, that a prompt response shows you value feedback, and that a constructive reply to a complaint can even encourage the customer to update their review. It also suggests sharing something useful (an update, an answer) instead of pasting the same thank-you everywhere. You can read it in Google's help page on replying to reviews.

A 5-part structure for any negative review

You do not need a template per complaint. Most good replies follow the same five steps:

  1. Use the reviewer's name and thank them for telling you. It signals a person wrote this.
  2. Name the specific problem in your own words ("the 45-minute wait", "the charger that stopped working"). This is what separates a real reply from a copy-paste one.
  3. Apologise only for what actually went wrong. If you are not at fault, say you are sorry they had a bad experience and ask for details instead of admitting something untrue.
  4. Say what you will do, or offer a way to sort it out offline: a phone number or WhatsApp number that actually reaches you.
  5. Keep it short and sign it with your name and business. Three to five sentences is plenty.

Aim to reply within a day or two. A quick reply reads very differently from one that arrives three months later, even if the words are identical.

Three examples in English, Hindi and Hinglish

These are examples, not scripts. Change the details to match what really happened, and only promise what you will actually do.

1. Restaurant: a long wait

Review: "Food was good but we waited 45 minutes for our order. Service needs improvement."

English

Hi Priya, thank you for telling us, and sorry about the 45-minute wait. You came for a relaxed meal and that is not what you got. We are looking at how we handle the weekend rush. If you would like to give us another chance, please call us on [phone] and we will look after your table. — [Owner name], [Restaurant]

Hinglish

Priya ji, aapne apna experience bataya, iske liye thank you, aur 45 minute wait karwane ke liye sorry. Weekend ki bheed mein orders jaldi dene ke liye hum apni team ke saath kaam kar rahe hain. Agli baar aana ho to [phone number] par bata dijiye, hum aapki table ka khaas dhyan rakhenge. — [Owner name], [Restaurant]

2. Shop: a product that failed

Review: "Charger stopped working after 3 days."

English

Hello Rahul, I am sorry the charger stopped working so soon. That is not what we want customers to take home. Please bring it in with your bill; we will test it and replace it if it is faulty. You can also reach me directly on [phone]. — [Name], [Shop]

Hinglish

Rahul ji, charger itni jaldi kharab ho gaya, iske liye sorry. Please bill ke saath shop par le aaiye. Hum check karenge aur kharab nikla to replace kar denge. Aap seedha mujhse [phone] par bhi baat kar sakte hain. — [Name], [Shop]

3. Clinic: a review that does not match your records

Review: "Waited an hour and nobody attended to me."

English

Hello Sneha, we are sorry your visit did not go well. We checked our records for that day and could not find an appointment under this name, so we would like to understand what happened. Could you call or message us on [phone] so we can sort it out? — [Name], [Clinic]

Notice what the third reply does not do: it does not accuse the reviewer or argue in public. It states a fact calmly and moves the conversation to a phone call.

What not to do

  • Do not paste "Thank you for your feedback!" under every review. Readers notice, and Google itself suggests avoiding the same message each time.
  • Do not argue or get sarcastic, even when the review is unfair. You are writing for the readers, not the reviewer.
  • Do not share private details such as a customer's order, phone number or medical information in a public reply.
  • Do not promise what you cannot deliver. A refund or replacement you then refuse makes the next review worse.

If a review is fake or breaks Google's content rules, report it to Google from your Business Profile instead of arguing with it in the replies.

Reply in the language your customer wrote in

If a customer wrote in Hindi or Hinglish and you answer in formal English, the reply can feel distant, as if you skimmed the review. Matching their language is simple for one review and hard to keep up across dozens a month. That is the part ReplyDost handles: it drafts a reply to each new Google review in the language the reviewer used, in your voice, and you can edit it before it goes out or turn on automatic publishing on a paid plan.
