A customer calls to ask the price to Bhopal, someone does the mental math, quotes a number, and writes the booking down by hand. It works — until the shop gets busy, two people quote two different prices for the same city, and nobody remembers which booking is still waiting for pickup.
Where the friction actually is
Three things eat a courier counter's time every day:
- Pricing by memory. Every quote depends on whoever picks up the phone knowing (or guessing) the distance and the right rate for it. New staff quote wrong. Regulars quote from habit, not from an actual chart.
- "Is it picked up yet?" calls, because the customer has no way to check status themselves.
- Handwritten receiver details that only exist on the shop's copy of the slip — if a customer wants to double-check the drop address later, they have to call and ask what they themselves wrote down.
Pricing by distance, not by memory
The fix that actually holds up under a busy counter is a fixed rate chart by distance band — five slabs cover almost every domestic booking a local shop sees:
- 0–50 km
- 50–200 km
- 200–500 km
- 500–1000 km
- 1000+ km
Set your own rate per slab for documents and for parcels, plus a flat pickup charge, once. After that, a quote is a pincode lookup and a lookup table — same price every time, regardless of who's at the counter. The distance itself is worked out from the two pincodes, so nobody's estimating "how far is Bhopal from here" by feel.
Letting the customer start the booking
A courier booking has two shapes: the customer drops the parcel at your shop, or you go pick it up. Both need to work without a phone call:
- The customer opens your Digital Menu and picks pickup or drop-off, sees the distance-based price instantly, and (for a pickup) sends a request with the pickup address, sender details, and — since customers kept asking for this up front — the receiver's name, address, and a Google Maps pin for the drop, all optional but there if they want to fill it in early.
- You accept and confirm the pickup time and final price; a WhatsApp confirmation message is one tap away.
- You hand it to your courier partner — an AWB number and a tracking link, built automatically from that partner's link template.
- The customer tracks it themselves on a public link — pickup, shipped, delivered — no login, no app.
- On delivery, the payment is recorded and a print-ready receipt is available, the same page style as a real GST invoice, not a plain PDF.
Every step that used to be "call the shop" becomes something the customer can do, check, or read on their own.
